Grant Officer/ Administrator - FIA Mobility

 

Mission:

 

We are looking for a highly responsible professional to work with and support the Director of PP & Services. In this function, he or she will be involved in the application & approval process, disbursement, monitoring and evaluation of the various grant schemes that the FIA maintains to the benefit of its member clubs in the area of Road Safety & Capacity Building.
 

Main responsibilities:


Under the supervision and guidance of the Director of Public Policy & Services, he or she will
  • Maintain and update the grant application system;
  • Support the documentation & review of proposals to ensure quality and compliance with relevant guidelines;
  • Ensure timely submission & follow up of applications as well as disbursement requests as per disbursement schedules;
  • Liaise with Accounting to ensure payments are executed timely and correctly;
  • Follow up on timely submission of evaluation reports, and assist in the review and finalization of the same;
  • Prepare quarterly program updates and annual reports;
  • Maintain the grants management filing system and ensure complete donor grant documentation.

Key competencies:

  • A Bachelor's degree or equivalent;
  • Relevant experience in the area of grant and funding administration;
  • Relevant experience in office and team administrative support. Basic accounting skills a plus. Sound computer & language skills. English a must, any additional language a plus;
  • Proof of a structured, organized and thorough way of working;
  • Ability to establish and maintain effective working relationships with colleagues within the FIA, its member Clubs and donors;
  • Ability to communicate effectively, both orally and in writing.

Sporting Coordinator

 

Mission:

 

The Secretary General for Sport in Geneva is looking to fill the position of Sportive Coordinator.

 
Principal responsibility will be the management of the secretariat of sporting commissions. The successful candidate will also be responsible for the monitoring of several championships.
In addition, she or he will have to supervise a team of administrative assistants.

 
Occasional travel to participate to meeting might be required.

 

Main responsibilities:

 

 - Managing the secretariat of sporting commissions :

  • Planning meetings (Commissions, Committees, Working Groups…) and preparing agendas with the Presidents.
  • Preparing (compiling the dossiers) and taking part in the meetings, writing the minutes.
  • Drafting the resulting sporting regulations.
  • Preparing proposals for the World Council.
  • Updating the sporting regulations.
  • Writing material for publication (official bulletin, Internet site).
  • Taking part in studies on the evolution of the disciplines concerned.
  • Writing explanatory notes for the various participants or authorities (President of the FIA, commission presidents, delegates, etc.).

 - Monitoring the Championships:

  • Drafting calendars in agreement with the ASNs (National Sporting Authorities) and the promoters of the championships
  • Monitoring the calendars.
  • Drawing up and monitoring the budgets for the championships.
  • Appointing the officials and coordinating their missions.
  • Monitoring events according to the regulations (issuing visas).
  • Coordinating and communicating with the ASNs.
  • Sending to the parties concerned the reports on events drawn up by the FIA, then classification and filing.
  • Taking part in meetings of the World Motor Sport Council (depending on the agenda) and General Assembly.

Key competencies:


We are looking for a candidate, with significant experience in motorsport and if possible in administration of motorsport championships. He or she is by nature a positive person who is precise and flexible. Her/his ability to adapt, her/his versatility and capacity to cope with stress enable her/him to carry out to the very best of her/his ability, and within the deadlines, all the tasks that she/he has been given. She/he performs her/his duties meticulously and are skilled in organising and prioritising.
  • Sound administrative skills; IT-proficiency a definite plus
  • Relevant experience in Management
  • University degree preferred, background in administration a plus

  • Native level English. French strongly desirable.

Community Leader – FIA Mobility

 

Mission:

 

The voice of FIA Mobility to our clubs, particularly on a working level (B2B) -- and the voice of the Mobility clubs within the FIA: We are looking for someone who will serve as a hub, who connects easily with people and enjoys communicating and communication, online as well as offline. We want a team member and a team player with strong work ethic and a contagiously positive attitude.

 

The community manager will be responsible for creating and managing, building and nurturing the online community of FIA & Clubs, integrating existing global and regional networks and initiatives. She or he will be responsible for recommending and implementing the platforms and tools that work. Since we are at the beginning of our efforts, the successful candidate will need to have excellent envisioning skills, be able to work independently, take initiative and create a very usable platform and community in a short period of time.

 

At the same time, the community manager will play an important role in the relationship building in an off-line environment to slowly move towards and improve on online interaction.

 

Main responsibilities :

  • Contribute to the development of FIA Mobility’s outreach strategies – online and offline.
  • Drive implementation of appropriate collaboration platforms and tools for FIA Mobility affiliates.
  • Network proactively with our diverse range of regions & clubs. Foster a sense of community around the FIA membership. Encourage and educate Clubs to facilitate the use of appropriate online and offline channels.
  • Act as the key relationship manager and serve as the initial point of contact for inbound requests. Creatively and proactively assist clubs and identify and analyze issues, patterns and trends in the FIA club community. Respond to crises in a timely and professional manner.
  • Provide content management services for the Mobility Secretariat, to feed intra- and extranet sites. Coordinate with relevant teams to work on development and integration of existing regional websites. Maintain reference materials and further exchange thereof. Establish best practices in knowledge management. Work closely with Communication, Marketing & Events.
  • Assist in the day-to-day maintenance of Mobility content for FIA websites, and elements of the intranet & extranet at Mobility club level.
  • Maintain current knowledge of social media & internet mix. Provide guidance and coaching to team members as necessary or required. Educate the Mobility management team and peers on Web 2.0 tools and culture, on the incorporation of relevant social media techniques. Establish metrics & report on them on a monthly basis including recommendations.

Key competencies:


Professionally :
  • Experience in product management from ideation to implementation, working in cross functional teams.
  • Several years in the social media space, preferably with development and nurturing of online communities. Media experience and work as a journalist a definite plus
  • Computer savvy-ness is a given, creative and professional English is a must, additional languages a plus, as well as a multi-cultural background.

Main responsibilities

  • Communicate with business users to develop new or enhanced functionalities
